Aries Job Hub Privacy Policy

Last updated: 15 October 2026

Aries Job Hub is operated by Aries Builders Limited, Auckland, New Zealand. This policy explains how we collect, use, store and share personal information through the Hub, including its Google Drive connection.

Information we collect

We collect information needed to organise, carry out and document our building work. Depending on the job and your role, this may include:

  • Names, phone numbers, email addresses and site addresses.
  • Client, property manager, tenant, staff and subcontractor contact details.
  • Scopes, quotes, invoices and other job documents.
  • Site photographs, notes, measurements and progress reports.
  • Schedules, recorded hours, job costs and variations.
  • Health and safety records, concerns and acknowledgements.
  • User identification and activity records used to manage access and track changes.

Information may be provided directly by you or by someone involved in arranging or completing the work. Please upload only information relevant to the job.

If necessary information is not provided, we may need to obtain it before arranging or completing work.

How we use information

We use information to manage enquiries and jobs, coordinate people, communicate about work, document progress, manage safety and review job costs and performance.

We may share relevant information with authorised staff, subcontractors, clients or their representatives where needed for the job, or where otherwise permitted or required by law.

Access through the Hub depends on a person’s role, job assignments and file permissions. Office users may access information needed for administration. Site staff and subcontractors are given access appropriate to their assigned work.

Google Drive connection

An authorised administrator can connect the Google account nominated by Aries Builders for job-file storage.

The Hub receives the account’s email address and identifier to check that the correct account is connected. It stores encrypted authorisation tokens so it can carry out approved file operations. The Hub does not collect or store your Google password.

The connection uses Google’s drive.file permission. This allows access to files created by the app or otherwise authorised for use with the app, rather than unrestricted access to the entire Google Drive.

When enabled, the Hub can:

  • Create folders for jobs.
  • Copy job documents and photographs into those folders.
  • Read file details and copied contents to verify that copies match their originals.

Google processes the file names, folder names and contents necessary to provide this service. Field staff do not need to connect their personal Google accounts to use the central storage feature.

We do not sell Google user data or use it for advertising. Aries Job Hub’s use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.

Where information is stored

The Hub uses ChatGPT Sites hosting and its supporting infrastructure to store job records and uploaded files. When the Drive connection is enabled, copies of selected job files are also stored in the nominated Google Drive account.

During the current staged rollout, original files remain in the Hub alongside verified Drive copies. The Drive feature does not provide a complete backup of the Hub’s job database.

Our service providers may process or store information outside New Zealand. We are responsible for assessing the privacy safeguards appropriate to these arrangements.

Permissions applied directly in Google Drive operate separately from the Hub’s access controls. Authorised account administrators should take care when sharing folders or files outside the Hub.

Security and retention

We use access controls and encrypted Google connection credentials to help protect information. No online service can guarantee absolute security or uninterrupted availability.

We retain personal information for as long as needed for the purpose for which it was collected, including applicable legal, accounting and recordkeeping requirements.

Deleting a file from one location does not necessarily delete copies in other locations. Contact us if you need information corrected or removed so we can consider the relevant records and any retention requirements.

Disconnecting Google Drive

The connected Google account owner can revoke the Hub’s access through their Google Account connection settings.

Revoking access stops future authorised Drive operations. It does not automatically delete files already copied to Drive or records stored in the Hub. Contact us to arrange removal of stored connection credentials or to discuss existing copies.

AI and other integrations

Connecting Google Drive does not activate an AI assistant, Xero connection or email integration.

The current Drive storage feature does not send file contents to an AI assistant. We will update this policy and provide relevant notices before introducing materially different uses of personal information.

Your privacy rights

Under New Zealand’s Privacy Act 2020, you can request access to personal information we hold about you and ask us to correct it. We may need to verify your identity before responding.

If we do not make a correction you request, you may ask us to attach a statement of correction to the information.

Please contact us first with any privacy concern. You can also contact the Office of the Privacy Commissioner.
