Aries Job Hub Terms of Use

Aries Job Hub is operated by Aries Builders Limited, Auckland, New Zealand. These terms explain the permitted use of the Hub by authorised office staff, employees and subcontractors.

Purpose of the Hub

The Hub helps us organise building jobs, schedules, scopes, documents, photographs, hours, site notes, variations and job costs.

These terms cover use of the software. They do not replace any building contract, employment agreement, subcontractor agreement or health and safety obligations.

Authorised access

Use the Hub only through your own authorised access and for work you are permitted to carry out.

Your access depends on your role, assigned jobs and document permissions. Do not share login credentials, attempt to access restricted information or allow another person to use your account.

Contact the office promptly if you can see information you should not have access to, or if your account or device may have been compromised.

Aries Builders may change or remove access when someone’s role or work changes, or where necessary to protect information and the service.

Entering information and uploading files

Take reasonable care to ensure that information you enter is accurate and relates to the correct job. This includes hours, measurements, costs, photographs, notes and progress updates.

Upload only information you are authorised to provide. Avoid unnecessary personal information and photographs unrelated to the work.

Check that uploads and changes have saved successfully. If information is incorrect or missing, notify the office so it can be corrected.

Instructions, variations and completion

Check the current scope and job instructions before starting work. Contact the office if anything is unclear or conflicts with conditions on site.

Recording a variation or additional work in the Hub does not, by itself, authorise that work or approve its price. Follow the agreed approval process before proceeding.

Marking your own work complete does not necessarily mean the whole job is complete. Other trades, inspections or office checks may still be required.

Health and safety

Use the Hub to record relevant safety documents, acknowledgements, hazards and concerns. These records support, but do not replace, site safety procedures and your responsibilities.

For an urgent safety concern or emergency, contact the appropriate person directly and follow the site emergency procedures. Do not rely solely on an app notification or submitted report.

Financial information

Budgets, cost comparisons and job summaries depend on the information entered. Missing invoices, unrecorded hours or other incomplete information can affect the results.

Authorised office staff must check the relevant source records before relying on figures for quoting, invoicing, payment or final job reviews.

The Hub does not replace official accounting records or professional accounting advice.

Google Drive and job files

Only an authorised administrator may connect the Google Drive account nominated by Aries Builders. The account owner must approve that connection.

During the current staged rollout, original uploaded files remain in the Hub and verified copies may also be stored in Google Drive. This feature does not provide a complete backup of all Hub records.

Copying may be interrupted by connection problems, permissions, storage limits or service availability. Check the reported status before relying on a copy.

Editing or deleting a Drive copy does not automatically update or delete the Hub original. Coordinate changes with the office to avoid conflicting records.

Privacy and confidentiality

Handle client, staff, subcontractor and job information confidentially. Share it only with people authorised to receive it for the relevant work.

Availability and changes

The Hub is being trialled and improved. Features may change or be temporarily unavailable.

If the Hub is unavailable, retain the information you need to submit and contact the office for an alternative way to record or communicate it. Do not assume an action has completed unless you receive confirmation.

We may update these terms as the service changes. The latest version will be published on this page with its updated date.

New Zealand law

These terms are governed by New Zealand law. Nothing in these terms excludes rights or obligations that cannot lawfully be excluded.
